Revenue vs profit: what small-business owners actually need to track

'How's business?' is really four questions wearing one coat. Revenue is what came in. Expenses are what went out. Profit is what's left. Margin is profit as a share of revenue. Knowing all four, monthly, changes almost every decision you make.

Why revenue alone misleads

A busy month with record sales can still lose money if costs climbed faster. Revenue measures activity; profit measures health. Owners who track only the first are often surprised by the second.

The fix isn't complicated math — it's writing all four numbers down, once a month, in the same place.

Margin is the quiet one that matters

If you keep $30 of every $100, your margin is 30%. When margin shrinks, you're working harder for less — prices, costs, or your mix of work needs a look.

Watch the trend, not the single month. Three months of shrinking margin is information; one odd month is weather.

Pay yourself deliberately

Profit and your pay are related but separate decisions. Many owners leave 'whatever's left' — which quietly becomes 'nothing'. Decide an amount, treat it as a line item, and let profit be what it is: the business's result, not your wallet.
