5 simple numbers every small-business owner should track

You don't need a dashboard with forty metrics. Five numbers, checked monthly, tell you almost everything about a small business: is it growing, is it healthy, and is anything quietly going wrong?

1. Revenue — is activity growing?

Total money in, per month. Compare to last month and to the same month last year. Trend matters more than any single number.

2. Profit — is the business healthy?

Revenue minus expenses. A business can be busy and broke; profit is the number that tells the truth.

3. Margin — is the work worth it?

Profit as a share of revenue. When margin shrinks over several months, something in pricing or costs needs attention — even while revenue grows.

4. Unpaid invoices — is cash stuck?

The total owed to you right now, and how old it is. This number predicts next month's cash stress better than any other.

5. Repeat customers — is anyone coming back?

Roughly what share of this month's customers have bought before. Repeat business is the cheapest growth there is; a falling share is an early warning.

What to do next

All five fit on one page. Use the free Monthly Financial Review sheet — five lines a month, twelve months a year, and you'll know your business better than most owners ever do.

Educational, not financial advice

These are general business-education concepts, not financial advice. How you act on them — pricing, hiring, borrowing — deserves a qualified professional who knows your numbers.
